Start with what you already pay for. For clients on QuickBooks Online, Intuit Accountant Suite adds categorization, anomaly flags and cross-client questions, with several features still in beta. On CCH Axcess, Axcess Scan extracts W-2, 1099 and K-1 data into Axcess Tax. Karbon includes AI email drafting, summaries and client briefs at no added cost. Each works inside its own product. Start with the systems you have.

Discovery starts with your exact software and versions. Desktop tax packages often rely on exports; Lacerte publishes an SDK. We check reading and writing separately, and nothing is written into your tax software or practice management without staff review.

Keep the right people in control.

Each client's data stays separate, so a draft for one client cannot draw on another client's return, a risk the IRS named in its first AI guidance for tax practitioners (Alert 2026-19). Before AI processes a client's return information, the system checks for the written consent your firm requires under IRC §7216. Processing stays in the United States, access is logged by client and by tool, and retention follows your policy. Judgments, signatures, filings and client communications stay with your team.

Questions firms ask

Can we use general AI chat tools with client tax returns?

Only with care. Under IRC §7216, using or disclosing return information outside the regulatory exceptions requires the taxpayer's written consent, and disclosure to a preparer outside the United States always does. Check what the specific product and plan retain: some AI vendors' zero-data-retention terms cover only certain products, not their chat apps. The IRS says to review all AI output before it reaches a client or the IRS.

Do we need a separate §7216 consent to use AI?

The IRS has not said whether an AI tool counts as a third party. For individual returns, Rev. Proc. 2013-14 requires a separate consent document for each separate use or disclosure. The cautious approach is a standalone, signed AI consent. Confirm the wording with your counsel.

Isn't the AI in Karbon, Intuit or CCH Axcess enough?

Often, for work inside that product, so turn it on first. Each of those tools sees its own data. A custom system earns its cost when work crosses products or when you need one audit record across them.

Can AI connect to Drake, ProSeries, Lacerte or UltraTax?

It depends on the package and version. Lacerte publishes an SDK. For other desktop packages, connections commonly run through exports and watched folders. We confirm what your version supports before scoping anything.

Will the IRS expect us to change fees if AI saves time?

The IRS Office of Professional Responsibility says billing for manual time that was not spent, or double billing for AI-assisted work, may violate Circular 230 §10.27, and that efficiencies should be reflected fairly in billing.

How do we stop client data being used to train AI models?

Read the terms for the exact product and plan, because business and consumer tiers differ. Karbon and Wolters Kluwer state that customer data is not used to train AI models. Put the requirement in your vendor contracts and your AI use policy.

How much time will this save our firm?

We don't quote a number before measuring. A 2026 survey found staff lose about five hours a week moving and re-keying data. Discovery sets your baseline, and the pilot is judged against it.
