Client documents, chased and filed for review
Document collection for accountants means requesting each tax document, comparing what arrived with the organizer, and filing the accepted copy before a reviewer opens the return.
First-party account. Our own tax practice runs on Precision AI OS. A person was in the loop for less than five minutes per return. Not a client result.
Why tax document collection breaks
Three channels List, email, and portal disagree.
Prior years Last year's file misleads.
Diligence Stays with the practitioner.
From the request list to a file the reviewer can open
Start with one engagement type.
Build the request Last year plus this year.
Send where clients reply Held for approval by default.
Watch every intake point Portal, email, forwarded scans.
Chase open rows only Missing item and tax year.
File the accepted copy By client, year, and row.
Hand over a gap list The reviewer marks it ready.
Matching is mechanical. Sufficiency is the reviewer's.
A reviewer judges whether forms are enough.

Illustrative prior-year comparison
Invented client Last year is a hypothesis.
Input Prior year: W-2, 1099-INT, K-1.
Output 2025 W-2 received; two open.
Note The follow-up names both gaps.
Season checklist for a complete source file
Use it beside the request list during filing season.
Engagement type and tax year.
Form, payer, year per row.
Dropped rows give a reason.
Every channel in the match.
Wrong-year files stay open.

Retention follows firm policy.
What the collection workflow will not do
Client uploads are return information.
Matched only within that client.
Practice management, the portal, and email
Practice management, portal, inbox.
This page is a plain-English summary for firm planning. It is not tax advice. A CPA classifies the step before a model reads a client's documents.
Questions
Is this accounting document management or a document product?
Neither. It is the collection workflow: request, chase, check, file, and a reviewer's acceptance.
How should document collection for accountants treat a prior-year organizer?
As a starting point. Keep rows still needed, drop the rest, and never let last year's copy satisfy this year's row.
Can the agent email the client when a 1099 is missing?
It drafts the note, naming the missing form and tax year. The note is held for approval by default.
Does a complete folder satisfy due diligence?
No. 31 CFR 10.22 still requires the practitioner's due diligence. A complete folder shows the sources. It does not review them.
