Fraud is the top worry: Buildium's 2026 trends article cites a RealPage study in which 75% of property management companies reported an increase in rental fraud over the past year, and in AppFolio's survey of 1,617 U.S. managers, 56% report facing application fraud in the last year. Adoption is ahead of governance: in IREM's survey of 3,662 U.S. property managers, only 8% of organizations have a formal written AI policy and 26% have received formal AI training. Owners judge you on service: 74% of respondents to Buildium's owner survey said customer service is their primary consideration when choosing a manager. Pilots should start with one portfolio and one queue.

When the software you have is enough.

Ask your current vendor first. AppFolio's June 16, 2026 release says Leasing Performer was already generally available for email and text and has expanded to phone calls, and that Resident Messenger Performer is now generally available. AppFolio's pricing page lists no dollar amounts. Yardi's Virtuoso Enterprise page describes agents across leasing, resident services, maintenance and accounting, and we found no public price there; it does not say which agents are generally available. EliseAI lists integrations with Yardi, Entrata, RealPage, ResMan and AppFolio, and we found no product price. A practical place to start.

Start with maintenance intake for one portfolio, with agreed escalation rules and a named person for urgent requests.

Track time to assign requests, repeat requests for information and owner-report preparation time. Include the time staff spend reviewing drafts, and compare one portfolio before and after. Released time is capacity, not an automatic saving.

Start with the systems you have.

Discovery starts with your exact property management software, version and permissions, not an assumption that every system has an API. We check reading and writing separately. AppFolio's pricing page lists a read-only API on Plus and a read/write API on Max, and names Stack as its partner marketplace (checked October 2026).

Keep the right people in control.

Access is separated by property and role, and tenant information is limited to the people who need it. People handle emergency escalation, tenant eligibility, lease decisions and financial authorizations. Fair housing review stays with your people and counsel.

What can AI do for a property management company?

Most gains come from the software you already run, so check its built-in AI first, then look at work that crosses systems. People still handle emergencies, eligibility and lease decisions.

Is AppFolio Realm-X enough, or do I need another AI tool?

For work inside AppFolio, often yes. Its June 16, 2026 release says Leasing Performer was already generally available for email and text and expanded to phone calls, and that Resident Messenger Performer is now generally available. The pricing page lists no dollar amounts. Look beyond it when work spans a second system, such as an owner report that also needs bank or vendor files.

Does Yardi Virtuoso work for a small property manager?

Yardi's Virtuoso Enterprise page describes leasing, resident services, maintenance and accounting, and we found no public price. It does not say which agents are generally available. Yardi's small-firm product, Breeze, starts at $1 per unit per month with a $100 monthly minimum (November 2024), and that page does not mention Virtuoso.

What did HUD's April 2026 guidance-withdrawal notice cover?

HUD's April 6, 2026 Federal Register notice lists eight guidance documents withdrawn effective September 17, 2025, including the April 29, 2024 guidance on advertising housing through digital platforms and a June 10, 2022 document on the use of criminal records. The tenant-screening guidance dated April 29, 2024 is not on the list. That alone does not establish its current status; the notice says HUD's review of existing guidance is continuing. Actions that do not comply with the Fair Housing Act's text remain subject to HUD enforcement. This is not legal advice; ask your counsel.

Has an AI leasing assistant been the subject of a fair housing lawsuit?

Yes. In 2023, Open Communities and a rental applicant sued a property manager and its AI leasing-software vendor in federal court in Illinois, alleging that automated replies communicated a blanket no-voucher policy to Housing Choice Voucher holders. The complaint pleaded race discrimination under the Fair Housing Act and source-of-income discrimination under Illinois law. The defendants denied the allegations; the case ended in a January 2024 consent decree with no admission of liability. This is not legal advice; ask your counsel how federal, state and local law apply to you.

How much does an AI leasing assistant cost?

The big vendors do not publish prices. AppFolio, Yardi and EliseAI all quote, and AppFolio's Core plan has a 50-unit minimum. Ask each for the all-in annual cost for your unit count, including voice and any required CRM.

Will my tenants' data be used to train an AI model?

Check the terms for the exact product, because vendors publish different levels of detail. AppFolio's AI page describes privacy and governance practices, and we did not find a statement there on whether tenant data is used for training. Put your requirement in the contract.
