Deltek's 2026 Clarity study of 896 U.S. and Canadian A&E firms found AI adoption up from 53% to 70% in a year, while 38% reported measurable business impact. Firms named where and how to apply AI (62%), integrating AI systems (56%) and data and cybersecurity (52%) as the top barriers. The same study reports utilization just under 60% and staff turnover above 13%. ACEC's 2025 survey of 644 firm leaders found AI use most common in marketing and sales (81%), followed by design and project delivery (36%).

When the software you have is enough.

Ask your current vendors first. Ask Dela works inside Vantagepoint and Ajera on Deltek data, and Deltek says many Dela capabilities will be part of the license fee, with some features charged separately. Autodesk is previewing a next-generation Assistant and construction agents for document search and submittal review. Engineering.com reports that today's Assistant is already available in Forma, Fusion and Flow, and that rollout timing and subscription terms for the next version will be announced in 2027. Newforma says Smart Email Filing is deployed, and that its Vojo assistant is still in development. Procore's Starter Pack includes an RFI agent for projects run in Procore. Discovery starts with the exact software, version and permissions, not an assumption that every project system has an API. Reading and writing are checked separately. Where a contractor hosts the RFI platform, we check what your firm's login can export.

Questions firms ask

How can a small architecture firm use AI for admin work?

Start with one workflow that spans systems, such as RFI status or invoicing packs, and have AI prepare it for a person to review. Check the AI already in your project software before adding a pipeline for the gaps. Design decisions and issued documents stay with licensed professionals.

Does Deltek Vantagepoint or Ajera have AI?

Yes. Ask Dela is in Vantagepoint and in Ajera, where it answers questions about project, client and employee data. An August 2026 Vantagepoint release also flags timesheet and absence issues before an approver opens the record. Dela works on Deltek data, so documents and email held elsewhere stay outside it.

What does Autodesk Assistant do in Autodesk Construction Cloud?

Autodesk's AU 2026 news says it is previewing a next-generation Assistant and expanding construction agents for document search, submittal review and bid proposals. Drawing Compliance Review is planned for early next year. Engineering.com reports that Assistant is already available in Forma, Fusion and Flow, and that timing and subscription terms for the next version will be announced in 2027. We did not find an Autodesk page that lists an RFI-drafting feature.

Does Newforma have AI, and is it available yet?

Partly. Newforma's product blog says Smart Email Filing is deployed and in use today, and that it suggests where to file project email. The same page says the Vojo assistant and Smart Search are still in development. Check Newforma's current release notes before treating Vojo as available.

Can AI handle RFIs and submittals for my firm?

AI can prepare and track them. People answer and issue them. Procore's Starter Pack includes an RFI agent that drafts RFIs from records already in Procore, and Autodesk is expanding submittal and document agents. Each works on projects in that platform. Tools outside your Procore subscription are not available to Procore AI.

Is my project data used to train AI models?

It depends on the vendor, so ask in writing. Deltek says customer data will not be used to train large language models, and firms can opt in and out of AI features. Newforma says project information is not used to train shared models. Autodesk says some training sets include aggregated, de-identified customer content, and that it does not share customer data with third parties for their own model training.

Do I need a new platform to use AI?

Usually you start with the AI in software you already pay for. Deltek, Autodesk, Newforma and Procore each describe AI that works on data inside that product. A separate pipeline is worth considering when one job needs accounting, documents and email together. Licensed professionals still approve anything the firm issues.
