Deltek's summary of SPI Research's 2026 Professional Services Maturity Benchmark says billable utilization fell to 66.4% in 2025, the lowest in the survey's history and well below the 75% threshold SPI considers optimal. Rocketlane's write-up of the same benchmark puts that result 3.6 points under a 70% line it attributes to SPI, across 509 firms and more than 245,000 employees (about 480 per firm on our arithmetic). Read it as an industry signal, not a small-firm measure. Deltek says generative AI was used on 27.1% of projects in 2025, up from 19.3% in 2024. Consultancy.uk's report on the 2024 Eden McCallum & LBS survey of 500 consultants says not one would use AI every time for business admin. Start with one drafting task and a named reviewer.

When the software you have is enough.

Ask your current vendor first. Kantata's help page lists an Expertise Agent and Agent Studio, and says they must be activated for the account. ERP Today reports the Expertise Agent was introduced on June 16, 2026. SiliconANGLE reported on September 22, 2026 that Kantata said Agent Studio is available now. Kantata publishes no prices. A Milient article, from a competitor, says third-party reviews report a 50-seat minimum and about $45 to $110 per user a month. Productive includes its Assistant on every plan and keeps Agents and connectors on the quote-only Ultimate plan. Deltek's Ask Dela article describes a Vantagepoint assistant for project, employee and firm records. Replicon time tracking for Vantagepoint is a premium add-on, and that article shows no price. Precision AI OS fits when the work also needs proposals, documents or email outside that one system.

Track search and drafting time, review corrections and use of approved source material. Released time is capacity for client work, not an automatic saving, and we don't promise a figure before measuring yours.

Start with the systems you have.

Discovery begins with the PSA you run, its version and its permissions. Kantata's help page documents an MCP server for outside tools. We did not find a connector list, or a read and write scope, on that page (checked October 2026). Productive keeps connectors on the Ultimate plan. Reading and writing are separate checks.

Keep the right people in control.

Separate reusable firm knowledge from confidential client deliverables. Define reuse rights and access before indexing any document. Engagement scope, advice and final deliverables stay with your consultants, who review every draft before it reaches a client.

How can consulting firms use AI?

Is the AI in Kantata, Deltek or Productive enough?

For work inside that product, often yes, so turn it on first. Each one works on data held in its own system. We did not find a public connector list for proposals, documents or email on the Kantata help page we read (checked October 2026). Look past the PSA when the work crosses tools.

How much does Kantata cost for a small consulting firm?

Kantata publishes no prices. A Milient article, written by a competitor, says third-party reviews report a 50-seat minimum and about $45 to $110 per user a month, so a firm under that reported floor may be quoted for seats it does not use. Ask for a written quote that includes the AI features. Kantata's help page says those features must be activated for the account.

Does Productive charge extra for its AI?

Productive's help page says Productive AI is included on all plans, and that page also shows an AI-credits usage card, so ask what the limit is on your plan. Agents, the MCP Server and Connectors are on the Ultimate plan only, which the pricing page lists as Let's talk. Essential lists $10 a month on monthly billing, or $12 on yearly billing, and Professional lists $25 a month on monthly billing (checked October 2026).

What do Kantata and Productive say about training on client files?

Read the terms for the product and plan, and your client contracts, before you connect client files. Kantata's help page says your data will not be used to train models used by other organizations. Productive's help page says it does not use customer data, or let third-party providers use it, to train the models behind Productive AI. These are vendor statements as read on October 1, 2026, not a reading of your contracts. Keep reusable firm knowledge apart from client deliverables.

Do consultants trust AI for proposals and admin?

Not without checking. Consultancy.uk, reporting the 2024 Eden McCallum & LBS survey of 500 consultants in the UK and Europe, says 79% at least used AI sometimes, and not a single respondent would use it every time to plan projects or handle business admin. More than eight in ten were concerned they could not validate the sources of AI-produced content. Keep a named reviewer on every draft.

How do we know AI is freeing up billable time?

Measure it on your own baseline, not an industry average. Deltek's summary of the SPI benchmark puts 2025 billable utilization at 66.4%. Baseline drafting, search and review time first, then compare after a pilot. We don't quote a saving before measuring.
